Pre-work for the Wednesday May 20 Apollo kickoff

Twenty minutes of setup so you can jump straight into the work on Wednesday.

Wednesday's session is a 45-minute live working build. By the end of it you'll have your own list of accounts in Apollo, your Monday workflow primed for your book, and a sequence ready to send the first email. The seven steps below are what makes that possible.

The seven pre-work steps

~ 20 min total

Five are inside Apollo. Two are five minutes of thinking. Do them in order. Step 1 has to land before the rest will work, so don't skip ahead.

Activate your Apollo account

Becky will email you an Apollo activation link by Monday May 18. Click it, set your password, log in. That's it.

If you don't see the email by EOD Monday: Check spam, then ping Becky directly. Activation needs to happen before Step 2 works.

Connect your Extreme Reach work mailbox

This lets you send sequences from your own email address (not from a generic Apollo address). Critical for deliverability and reply tracking.

  1. In Apollo, top-right click your initials → Settings
  2. Left sidebar → Email Accounts
  3. Click Connect mailbox → choose your provider (Google Workspace or Outlook 365)
  4. Sign in with your Extreme Reach email and approve the permissions
  5. Wait for the green "Connected" status (takes about 30 seconds)
If your IT blocks the OAuth permissions: Forward the permission screen to Becky and we'll handle the IT approval before Wednesday.

Connect your calendar

Powers booking pages later in the pilot so prospects can self-schedule directly with you.

  1. Settings → Calendar
  2. Click Connect calendar → sign in with the same Extreme Reach account
  3. Confirm "Connected" appears next to your name

Confirm you can see the "CSM Owner" filter

This is the new Salesforce field we're syncing into Apollo so you only see accounts you actually own. Becky and Apollo are landing this field before Wednesday. Quick sanity check that it's there for you.

  1. Top nav → SearchAccounts
  2. Left sidebar, scroll the filter list and look for CSM Owner
  3. Click it → select your name → confirm you see your book of accounts (15 to 20 typically)
If you don't see the CSM Owner filter: Don't worry about it. Becky and Apollo are still landing the field. We'll confirm together at the start of Wednesday's session. Move on to Step 5.

Pick your focus persona

Decide which persona you most want to multithread into first. We'll spend most of Wednesday building your first persona list together, so your pick decides what we work on live.

  • Marketing (CMOs, VPs of Marketing, Brand Directors)
  • Ops (Marketing Ops, RevOps, Sales Ops)
  • Sales (CROs, VPs of Sales, Sales Directors)
  • Creative (Creative Directors, VPs of Brand, Production Leads)
Not sure? Pick the persona that has the most influence on your existing renewal conversations. That's usually where multithreading pays off fastest.

Pick 3 to 5 accounts to multithread into

From your book, pick 3 to 5 accounts where you want to find and reach new contacts. These will be the live examples we use to build your first list together.

  • Skew toward accounts where you only know one or two people today
  • Skew toward accounts with active renewals or expansion potential
  • Skip any account where the relationship is purely platform-user (we filter those out automatically)

Bring one question

Anything you want answered live: a workflow you've been wondering about, a sequence pattern, an integration question, an AI thing you've heard about. Doesn't have to be polished. Bring the real one.

Goal of all this Walk into Wednesday with Apollo open, your book visible, your persona picked, and 3 to 5 accounts ready to use as examples. We'll do the rest together.

What to expect Wednesday

45 minutes. Live. Hands on keyboards. By the end you'll have a working motion in your hands, not a slide deck.

10 min · Orientation

Log in together. Find your accounts using the CSM Owner filter. See your book in Apollo for the first time.

15 min · List build

Each rep builds a persona list against their own accounts, live, in the platform. We coach as you go.

12 min · Workflow + sequence

Set up the Monday approval workflow. Walk through the persona-branched sequence template you'll start using.

8 min · Q&A + cadence

Pilot cadence, success metrics, decision criteria for full team rollout. Bring the question from Step 7.

FAQ

Do I need to install anything?

No. Apollo runs in your browser. There's an optional Chrome extension that's useful later in the pilot, not required for Wednesday.

What if I've never used Apollo before?

This pilot is built for first-time users. The whole point of Wednesday is to get you to your first working motion in 45 minutes. No prior Apollo experience required.

Will I be sending live emails on Wednesday?

No. There are manual gates on every send for the first two weeks. Nothing fires automatically until you and CS leadership decide it should.

What if I can't make Wednesday?

Tell Carlton ASAP. We'll record the session so you can catch up. You'll still want to do this pre-work either way so you can hit the ground running when you join.

Is my Salesforce data safe?

Yes. Apollo only reads what you have access to in Salesforce. The CSM Owner filter means you only see your own accounts, not the rest of the team's books.

Will Apollo email people who are already Extreme Reach platform users?

No. The Active Platform User flag (Pendo-driven) filters them out so you never accidentally reach out to a current customer.
